# Mandatory training and certificates

Forklift licences are expiring, first-aid training is overdue, half the workforce hasn't completed their annual data protection instruction, and the welder whose certification expired three months ago is working at the plant. This becomes apparent when an audit takes place or when something goes wrong. Until then, everything is in a spreadsheet maintained by a colleague when they have time.

Mandatory training and certificates are not a development issue, but a liability issue. They do not require pedagogy, but a system that knows deadlines, reminds, provides proof, and, if in doubt, blocks deployment.

## How you can tell

*   Evidence is stored in personnel files, folders, spreadsheets, and in the minds of foremen.
*   Lists are compiled before audits. After audits, they are no longer maintained.
*   Instructions take place, but whether everyone participated cannot be proven.
*   When new employees are hired or transferred, no one knows which qualifications the new role requires.

## Why this happens

Proof obligations originate from many sources: occupational safety, employers' liability insurance associations, industry standards, customer requirements, data protection. Each source has its own deadlines, and responsibility is distributed among safety specialists, foremen, HR, and quality management. Without a central point and a central system, what you end up with is what you have: many lists and no overview.

3.  **Automate deadlines.** The system reminds employees and managers before expiry, books refresher training, and flags outstanding records. Instructions are conducted as e-learning with documented participation.
4.  **Link with processes.** Hiring and transfers automatically check for missing qualifications. Workforce planning shows who is permitted to perform a task.

According to § 12 Arbeitsschutzgesetz (Occupational Safety and Health Act), employees must be instructed before starting work and thereafter at regular intervals. The instruction must be documented. Many professional associations and standards require annual repetition. For data protection instruction, supervisory authorities typically also require proof. Those who manage these obligations in one system can, with the same effort, meet the requirements of ISO certifications and customer audits.

For managing evidence and deadlines, an HR system with a qualification module is often sufficient. As soon as instructions are to be delivered as e-learning with success checks, a learning system is the simpler approach. Both systems must communicate with each other.
