    Error-free payroll

    Payroll is the process where every error is immediately noticeable. An incorrect transfer, a forgotten allowance, a recalculation over three months, and trust in the HR department is damaged, no matter how good the onboarding was. At the same time, payroll is the process with the most manual steps: data from timekeeping is transferred, changes are reported via email, certificates are created manually.

    An effective payroll requires three things: clean master data, interfaces instead of duplicate data entry, and a decision whether it runs in-house or with a service provider.

    How you can tell

    • There are correction runs every month. The causes are always the same: delayed notifications, incorrect time data, missing documents.
    • Times, absences, and master data are recorded in one system and re-entered in another.
    • Payroll relies on one person. If they are unavailable, payroll fails.
    • The system change has been discussed for years and constantly postponed because no one knows how.

    Why this happens

    Payroll is the end of a chain. What goes wrong beforehand ends up here: incomplete hiring data, unclear working time models, benefits without clear rules. The payroll system is often the oldest in the company because changing it causes fear. And interfaces are missing because systems were introduced at different times by different people.

    Our approach

    1. Analyse errors. We evaluate corrections from the last twelve months: type, cause, origin, effort. In most cases, 80 percent of errors stem from three causes that occur before payroll processing.
    2. Close the process chain. Onboarding, changes, departures, absences and working hours are configured to flow into payroll without duplicate data entry. Deadlines for notifications are reminded by the system, not via group email.
    3. Decide on operating model. In-house, service provider or hybrid. We compare costs, risks, dependencies and control options for your size and complexity. Outsourcing is not a given: data quality remains your responsibility.
    4. Change system, if necessary. If the payroll system is the bottleneck, we support selection, parallel runs and system migration at year-end with a test plan that covers every pay component.

    • Audits by the pension insurance and tax authorities lose their sting, because data is traceable.

The payroll system is less often the problem than assumed; missing interfaces are more frequently the issue.     Good to know

    The statutory minimum wage has been 13.90 Euros since January 2026 and will increase to 14.60 Euros in January 2027. The limit for 'Minijobs' (minor employment) is linked to this and will be 603 Euros per month in 2026. Each of these changes must be reflected in payroll and working time models, as must changes to contribution assessment ceilings and non-cash benefit values at year-end. A well-maintained system handles this, while an outdated one creates rework.

    Frequently asked questions

    Should we outsource payroll?

    If you have fewer than 200 employees and no complex collective bargaining or shift structures, outsourcing is usually more cost-effective and secure. Above that, a comparison is worthwhile. In any case, master data and time data remain your responsibility; the service provider only processes what you provide.

    When is the right time for a system change?

    At year-end, with a decision by summer and parallel runs starting in October. Starting in autumn means changing under pressure.
